Program Guidelines
At Living Education Academy, we believe that learning outdoors should be joyful, safe, and meaningful for every child. These guidelines help ensure a smooth experience for families and a supportive environment for students.
Enrollment & Tuition
Enrollment Confirmation
Enrollment is confirmed once tuition payment has been received in full or a payment plan has been arranged. Students cannot participate until enrollment is complete.
Tuition Policy
Tuition holds your child’s spot in the program and is non-refundable. Missed sessions, whether due to illness, travel, or other reasons, do not reduce tuition.
Late Payments
Tuition is due on or before the start of each term. Payments received more than 7 days late will incur a $15 late fee.
Attendance & Absences
Commitment
Regular attendance helps your child thrive and ensures consistency for the group.
Illness Policy
Children who are sick (fever, vomiting, diarrhea, or contagious illness) must stay home until they are symptom-free for at least 24 hours without medication.
Make-Up Sessions
Tuition is not refunded for missed classes.
Families may request a make-up session if space is available in another class during the same term.
A maximum of 2 make-up sessions per term may be scheduled per student.
Make-ups must be arranged in advance and cannot carry over into future terms.
Weather & Safety
Outdoor-First Approach
We meet in most weather conditions, including rain and snow. Children should come dressed appropriately for the day’s forecast.
Severe Weather
Sessions may be rescheduled or canceled in the event of dangerous weather (lightning, extreme winds, or unsafe air quality). Families will be notified by email or text as early as possible.
Safety Practices
Our instructors are trained in CPR and First Aid. We maintain clear boundaries for exploration and emphasize respect for self, others, and the environment.
Parent Involvement
Volunteers
Parents may be invited to assist during sessions. Volunteers must follow all safety guidelines and support the instructor’s direction.
Communication
Please keep us informed of any allergies, medical conditions, or special needs your child may have. Open communication helps us create the best experience for every student.
Cancellations & Refunds
Program Cancellations
If Living Education Academy must cancel a program due to low enrollment or unforeseen circumstances, families will be offered a refund or credit toward a future session.
Family Withdrawals
If a family chooses to withdraw, tuition is non-refundable. Special circumstances may be reviewed on a case-by-case basis.
Media & Promotion
At Living Education Academy, we love to capture moments of children learning and exploring in nature. Photos and videos may occasionally be taken during sessions to celebrate the work of our students and to help share our mission with the wider community. These images may appear in materials such as brochures, the Living Education Academy website, or social media posts.
Families are not required to participate in promotional media. If you prefer that your child not be photographed or included in videos, please let us know, and we will ensure they are not featured. Respecting your family’s wishes is always a priority.
Preparing for Sessions
Outdoor learning requires children to be ready for the day’s conditions. Parents are responsible for checking both the weather forecast and the location details of each session to ensure their child is appropriately prepared.
Clothing and Gear
Children should arrive dressed for the weather. This may include:
Jackets or layers for cold or windy conditions
Hats, sunscreen, or light clothing for hot and sunny days
Waterproof boots or rain gear when rain is expected
Supplies
Families should also send their child with:
A full water bottle
A healthy snack
Any personal items needed for comfort, such as gloves, hats, or extra socks
A portable camp chair or sitting pad, if desired, for breaks and activities
Being well-prepared helps children stay comfortable, engaged, and safe while learning outdoors.
Behavior & Conduct
We expect all students to:
Treat peers, instructors, and the natural environment with respect.
Use kind words and actions.
Follow safety instructions during activities and exploration.
Bullying, aggressive behavior, or repeated unsafe choices may result in dismissal from the program without refund.
Medical & Emergency Procedures
Medical Information
Parents must provide up-to-date information on allergies, medications, and any special needs.
Emergencies
In the event of a minor injury, basic first aid will be administered.
For more serious incidents, parents will be contacted immediately and emergency services called if needed.
Communication
We strive to keep families informed and connected.
General updates will be sent via email or text.
Parents may also be invited to join a private communication group for reminders and updates.
For urgent matters during a session, the instructor will contact families directly by phone.
Liability & Assumption of Risk
Outdoor learning involves natural risks such as uneven terrain, insects, and changing weather. By enrolling, families acknowledge these risks and agree that participation is voluntary. Living Education Academy takes precautions to ensure safety, but minor scrapes and bumps are a regular part of outdoor exploration.
